Booking process
1. Check the room calendars to confirm that there is availability for the day and times you would like to host your event
Ideally try and book your event at least 8 to 12 weeks in advance so that you have enough time to confirm your arrangements before sending out invitations. Professional entertainers, discos and bouncy castles are often on a far longer lead time.
2. Double check you have allowed enough time before to set up/decorate and afterwards to clear and clean the room(s) you are hiring
The Hall is not staffed so hirers have to make their own arrangements to have sufficient friends and family present to move and put up the folding tables and stacked chairs before an event and to store tables and chairs afterwards.

4. Please read all three documents and then complete and sign the Booking Form and Safeguarding Agreement.
Please fill in your bank details on the booking form so we can return any deposit by bank transfer to your bank account.
5. Email a scanned copy or photo of the signed documents : hallbookings@harnhamparish.org.uk
6. We will check your forms and Hall availability before provisionally confirming your booking and confirming how much to be paid
7. Please send us an email after you have paid the agreed amount (including deposit) to our Lloyds Bank Account to confirm your booking

As is now common practice, we no longer accept cheques or cash for the hire of rooms in the Parish Hall.
8. Collect keys from the Parish Office on Friday between 15.00 and 16.30
Once you have paid and returned the scanned signed forms by email, a key can be collected from the Parish Office between 15.00 and 16.30 on the Friday before your booking except for Fridays before bank holiday weekends.
The Friday afternoon time slot is also a weekly opportunity to view the Parish Hall and discuss options for any event.
9. Enjoy your event at the Parish Hall
10. After your event return the keys to the Parish Office at the Parish Hall
Please return your keys once your have cleared, cleaned and locked the Hall after your event. Just drop the keys through the letterbox in the Parish Office door. If the Hall is left clean with no damage and all rubbish removed , your deposit will be returned within one month to the bank account you listed in your booking form.
